How to Customize Email Notification Appearance?
What it is
The Email Appearance feature lets you brand your OpnForm email notifications with your own logo, fonts, and colors. Instead of sending generic-looking automated emails, you can make every notification match your company or team identity.
When to use it
- Agencies & white-label users: Send emails that look like they came from your client's brand, not OpnForm.
- Professional teams: Maintain brand consistency across all customer touchpoints, including form notifications.
- Event organizers & surveys: Make confirmation or thank-you emails feel more personal and on-brand.
Step-by-step guide
1. Open the Email Integration settings
- Go to your form in OpnForm
- Click on the Integrations tab (top navigation)
- Find the Email integration card
- Click Edit (if you already have an email integration) or Add Integration → Email (to create a new one)

2. Expand the Email appearance section
Scroll down in the Email Integration modal until you see a collapsible section labeled "Email appearance" with a paint brush icon 🎨. Click it to expand.

3. Customize your email appearance
You'll see five customization fields:
Logo
- What it does: Replaces the default app name with your logo in the email header.
- How to use: Click the "Upload" button to select an image file from your computer (PNG, JPG, or SVG).
- Recommendations: Use PNG or JPG for best email client compatibility (some clients block SVGs). Recommended size: 200-400px wide. Keep file size under 1MB.
Font family
- What it does: Changes the font used for all text in the email.
- How to use: Click the font button to open a Google Fonts picker, search for a font (e.g., Inter, Roboto, Playfair Display), and click Apply.
- Default: If left blank, the system uses a standard sans-serif font.
Font color
- What it does: Sets the text color for the email body.
- How to use: Click the color swatch to pick a color, or paste a 6-digit hex code (e.g., #333333 for dark gray).
- Tip: Choose a color with good contrast against your background for readability.
Outer & Inner background colors
- Outer background color: Sets the background color around the email content area. Use subtle neutral colors (light gray, white, or very light blue).
- Inner background color: Sets the background color of the main email content box. Usually white or a very light shade works best.

4. Save your changes
Click Save (or Update Integration) at the bottom of the modal. Your settings are stored and will apply to all future emails sent via this integration.
5. Test your branded email
- Go to the Share tab of your form
- Submit a test response (make sure the email integration is triggered)
- Check your inbox—you should see the email with your custom logo, fonts, and colors applied!
FAQ & Troubleshooting
My logo isn't showing up
- Check the file: Make sure you uploaded a valid image file (PNG or JPG work best for email compatibility).
- File size: Keep your logo under 1MB for faster loading in emails.
- Image format: Some email clients block SVGs—try using PNG or JPG instead.
Colors aren't displaying correctly
- Hex format: Colors must be exactly 6 digits after the # (e.g., #3B5BFE, not #3BF or 3B5BFE).
- Email client rendering: Some email clients (Outlook, Gmail) may slightly adjust colors for accessibility—test across multiple clients.
Font isn't changing
- Google Fonts only: The font picker uses Google Fonts. If you typed a font name manually, make sure it's available in Google Fonts.
- Fallback behavior: If the font fails to load in the recipient's email client, it will fall back to a generic sans-serif font.
Pro badge is blocking me
- Free plan limitation: Email appearance customization is a Pro feature.
- Upgrade: Click the Upgrade button in the modal to subscribe to Pro.
- Self-hosted: If you're running OpnForm on your own server, this feature is automatically enabled (no subscription needed).
Can I use different branding for different forms?
Yes! Email appearance settings are per-integration, so you can:
- Create separate Email Integrations for different forms
- Set different logo/colors for each integration
- Use the same settings across multiple forms (just copy the values)
